We Saw the Same Problem Twice

Vacation rentals. Then car rentals. Same industry growing pains, same broken tools — so we built the fix.

The Industry is Changing

A decade ago, the short-term rental industry went through a transformation. Airbnb turned spare bedrooms into a real business — and a wave of professional property managers emerged to operate at scale. That same shift is now happening in peer-to-peer car rental.

Turo’s rapidly growing co-host program created an entirely new class of professional fleet operator. What started as people listing a personal car on the side has become a legitimate business — multi-car fleets, vehicle owners who expect monthly statements, direct booking channels running alongside Turo, and all the financial complexity that comes with it.

The Tools Aren’t There Yet

Turo is an amazing company — they’ve created a marketplace that makes professional fleet hosting possible. But the reality is that Turo’s fee structures are complex. Between earnings plan tiers, reimbursement line items, trip-level deductions, and platform fees, the payout breakdown for a single vehicle in a single month can be surprisingly hard to untangle.

That complexity means fleet managers are left cobbling together owner statements in Excel every month — manually pulling Turo payout data, matching it to direct booking revenue, and trying to allocate per-vehicle expenses. The result? Owner statements that are late, incomplete, or inaccurate. 1099s that don’t add up. And tax time that turns into a forensic accounting exercise instead of a simple filing.

These aren’t minor inconveniences — they’re the things that prevent fleet managers from scaling.

📊
Drowning in Spreadsheets

Hours spent manually reconciling Turo payouts, direct booking revenue, and vehicle expenses across fragmented tools that were never built for fleet accounting.

🤝
Eroding Owner Trust

Fleet managers who manage vehicles for other owners can’t produce accurate, timely owner statements — damaging the relationships they depend on to grow.

💰
Losing Money on Missed Expenses

Vehicle-specific costs like tolls, damage claims, insurance, and maintenance slip through the cracks when there’s no system designed to catch them.

📈
Monthly Accounting Nightmares

Per-vehicle P&L, split revenue across platforms, and Turo’s complex payout structure make accurate monthly accounting nearly impossible with generic tools.

From Vacation Rentals to Fleet Management

Before FleetPilot, James founded Cleardesk — a property management accounting firm and consulting practice in the vacation rental industry, where he spent years solving the exact same problems: messy owner statements, fragmented revenue streams, missed expenses, and the operational chaos that comes when a business outgrows its spreadsheets. From there he moved into product development in Silicon Valley, first at the accounting startup Ceterus, then at Guideline (since acquired by Gusto) — building tools that empowered small businesses to operate like the professionals they were becoming.

When he saw the Turo fleet management space, the parallels were impossible to ignore. Professional hosts managing vehicles for owners. Revenue flowing in from multiple booking channels. Per-asset accounting that generic tools can’t handle. The same structural problems, the same frustrated operators — just cars instead of condos.

Meanwhile, Cliff — a data scientist and engineer with a Master’s in Data Science from Syracuse and experience at x.AI — learned about this space from a friend who was running a growing Turo fleet and drowning in endless spreadsheets and operational headaches. What started as a conversation about pain points quickly became a shared conviction: this industry deserves better tools, and they could build them.

The insight was clear: the frameworks that professionalized vacation rental management could do the same thing for fleet management. James brought the domain expertise and accounting rigor. Cliff brought the engineering and data science muscle to make it real.

Why FleetPilot Exists

Here’s the thing about professional fleet hosts: they deliver the best car rental experiences out there. They’re fully dedicated — maintaining spotless vehicles, responding to guests around the clock, and treating every trip like it matters. Renters notice the difference, and that’s what keeps the marketplace thriving.

But behind the scenes, these same operators are buried in spreadsheets, chasing down payout discrepancies, and spending nights on accounting that should take minutes. The better they get at hosting, the harder the back office becomes. That’s backwards.

FleetPilot was built to fix that. Some fleet managers want powerful tools they can run themselves — automated owner statements, per-vehicle financial tracking, multi-platform revenue reconciliation, and 1099 compliance that just works. Others want the whole problem taken off their plate with a full done-for-you accounting solution. We built FleetPilot to serve this niche and meet operators where they are — so the hosts who deliver the best experiences can scale their businesses and succeed even more, without losing their sanity.

Professional tools for professional fleet operators. That’s what we’re building.
